Whether you are planning a wedding, you will likely need to reserve a venue. However, before you set things in stone you should take a moment to get to know the venue and what you can expect from the facility. You should first schedule a tour with the venue. Once there be ready to ask some detailed questions, such as the following:
What is the walking or driving distance from the ceremony?
If the ceremony is not taking place at the venue, and you’re not providing transportation for your guests, you should have an idea of how long it will take to get from the ceremony to the venue. Don’t forget to consider traffic conditions around that time.
Are there any hotels nearby?
If you are expecting many guests from out of town, it will be a good idea to confirm nearby hotels. In general anything more than 30 minutes away is too much, especially when there will be drinking involved? If drinking will be included, be sure to consider public transportation options to ensure your guests make it back to their home or hotel safety.
How many people can the venue accommodate?
This can correlate to the number of expected guests and your budget. If you love the space, but it only fits 150 people and you are expecting 300 people, it might not be an ideal venue.
What are the aesthetic features?
Consider your vision and make sure that the venue compliments it. For example if you imagine walking down a grand stairway, you should look for a venue that offers this or something similar.
What kinds of services are offered?
Does the venue offer all inclusive packages for both the space and food? Are rentals included (i.e. speakers, microphones, waitstaff)?
How is the lighting?
Lighting can make a big difference in a wedding reception. Check to see that the venue can offer different styles, patterns, or colors of lights. You should also ensure the lighting compliments photos that will be taken on the big day. A good tip for this is to check out the venues Instagram page to see if they have posted any photos of past events!
How many hours does the venue booking cover?
Even if you have booked for a certain date, you might not necessarily have full access to the facility for 24 hours. Ask the venue when you can start arriving and setting up, and confirm the time you need to be out.
What are the restrictions?
Venues do have restrictions. Some of these could include:
- Alcohol restrictions
- Smoking restrictions
- Vendor restrictions
- Decor restrictions
- Noise restrictions
What is the payment policy?
Before you sign an agreement with the venue, take a moment to review the terms and conditions. Ask the venue about the deposit, cancellation, date change, and refund policies. If something happens, it will be a good idea to know what you can expect in terms of recovering your losses.
